At a glance

Use this guide when

Site conditions change, unexpected repairs are discovered, or before/after photos need to be recorded.

Best practice

Use in-app voice notes and site photos to document defects before beginning additional work.

Watch for

Performing extra work without a signed change order risks non-payment and margin erosion.

01

Log visual proof and voice memos from the field

  1. Use the 🎙️ Voice Note button in the field job interface (/field/jobs/[id]) or text a voice memo to log site observations.
  2. Take clear photos of hidden damage (e.g. rotted wood, unexpected wiring) directly into the job file.
  3. Tag photos as "Internal" or "Client Visible".
02

Create and send a change order

When extra work is needed, generate a Change Order from the job workspace. Specify additional materials and labor, and send an SMS approval link so the homeowner approves the price increase before work continues.

Completion check

Confirm before moving on

Use these checks to make sure the dashboard and the real-world workflow agree.

  • Before/after photos and voice notes are attached to the job record.
  • Change order scope and pricing are agreed upon with the customer.
  • Customer digital signature is captured on the change order approval link.

Troubleshooting

When the workflow doesn’t look right

Homeowner claims they did not approve extra charges.

Open the job file to view the timestamped change order record, digital signature, and photo attachments.
