Understand roles, permissions, plans, and prerequisites

Understand workspace roles, server-enforced access gates, plan allowances, and live feature readiness.

A teammate cannot see a control, a feature appears unavailable, or you are deciding what access a new person should receive.

Grant access from job responsibility outward and review it whenever someone changes roles.

Know the three workspace roles

  • Owner: Unrestricted access to the entire business, billing, plans, payouts, team invitations, and irreversible actions.
  • Office Staff: Invited via email to access permitted dashboard pages (Leads, Schedule, Messages, Jobs, Reports) as bounded by server security gates. Note: there are no individual capability checkboxes in the UI.
  • Crew: Field workers who access assigned jobs, timecards, arrival buttons, and in-app voice notes via their magic link field portal (/field). They do not access the back-office dashboard.

Separate four kinds of feature readiness

  1. Role gate: Does the user role (Owner vs Office vs Crew) have server clearance for the requested action?
  2. Plan entitlement: Does your active subscription tier include sufficient seats, text credits, or storage?
  3. Operational prerequisites: Are external connections (such as Stripe Connect or carrier 10DLC registration) complete?
  4. Status vs Live: An on/off switch in settings expresses intent, but the feature only works live when dependencies are satisfied.

Confirm before moving on

Use these checks to make sure the dashboard and the real-world workflow agree.

  • Each teammate has the appropriate role and access level that supports their work.
  • Feature prerequisites are complete before the feature is described as live.
  • A second account with the affected role has been used to confirm the experience.

Troubleshooting

When the workflow doesn’t look right

An office user cannot access certain actions like sending quotes or merging clients.

High-trust financial and destructive actions require Owner role clearance.

A feature is enabled but not sending messages.

Verify carrier registration under Settings → Business and check that text credits are available.
