At a glance

Use this guide when

An on-site visit is required, an estimator needs dispatching, or a customer wants a tentative start window held.

Best practice

Give homeowners arrival windows rather than rigid times to accommodate traffic and job variability.

Watch for

Holding multiple overlapping start dates without confirmation can cause crew dispatch bottlenecks.

01

Book an on-site consultation

  1. From the lead details, click "Book Visit".
  2. Choose an available date and arrival window that aligns with your schedule.
  3. Assign an estimator or field technician to the visit.
  4. Confirm to automatically send the customer an SMS confirmation with their arrival window.
02

Hold a tentative start date on quotes

When assembling a quote, you can specify a proposed start date or timeline window. This date is held provisionally until the customer approves the estimate.

Completion check

Confirm before moving on

Use these checks to make sure the dashboard and the real-world workflow agree.

  • Estimate visit is placed on the calendar with assigned estimator.
  • Customer received automated arrival window SMS confirmation.
  • Tentative start dates are clearly labeled as provisional pending quote sign-off.

Troubleshooting

When the workflow doesn’t look right

Customer wants to reschedule an estimate visit.

Open Schedule, find the visit card, click Reschedule, and select a new time slot.
