Build standardized trade line items

  1. Open Price Book and click "Add Service".
  2. Enter item name, customer-facing scope description, category, and base price.
  3. Add estimated material costs and labor hours for accurate gross margin tracking.
  4. Create Good/Better/Best tiers for upsell recommendations.

Import spreadsheets or snap photos with AI OCR

  1. Go to Price Book → "Import CSV, Excel, or Photo / OCR".
  2. Upload a spreadsheet (.csv or .xlsx), paste rows directly, or snap a photo of a printed rate sheet / laminated service menu.
  3. AI OCR scans the photo and extracts service names, prices, units, and descriptions automatically.
  4. Preview the matched columns and click "Import services" to populate your catalog in one click.

Archive obsolete items safely

Archive outdated price book items rather than deleting them. Archiving preserves historical quoting records on past jobs while removing items from new quote builders.

  • Standard trade services, descriptions, and base rates are configured.
  • Estimated material and labor hours are attached for gross margin tracking.
  • New quote drafts populate items accurately from the price book catalog.

Troubleshooting

When the workflow doesn’t look right

Price change did not update on an existing quote.

Existing sent quotes preserve their agreed pricing. New quotes will automatically pull the updated price book rate.

Rate sheet photo OCR missed some items.

Ensure good lighting, avoid glare on laminated sheets, or upload a clear high-resolution image.
