At a glance

Use this guide when

Maintaining customer profiles, adding multiple property addresses, or managing duplicate records.

Best practice

Designate the primary contact and property address accurately for multi-site commercial clients.

Watch for

Merging clients deletes duplicate profiles and detaches warranties; blocking a contact cannot be undone in the UI.

01

Maintain client profiles and property addresses

  1. View complete communication history, quote drafts, past invoices, and warranty documents for each client.
  2. Add multiple service property addresses under a single commercial or residential customer account.
  3. Attach equipment tags, gate codes, and pet safety notes for field technicians.
02

Irreversible client actions: Merge and Block

  • Merge Clients: WARNING: Merging client records cannot be undone. Merging permanently deletes the duplicate client profiles and detaches historical warranty records. Ensure you designate the correct master record before confirming.
  • Block Contact: WARNING: Blocking a contact cannot be undone in the dashboard (no unblock surface exists). Blocked numbers can never send incoming leads or texts.
  • Revoke Portal Access: Owner-only action that immediately invalidates customer portal magic links.

Completion check

Confirm before moving on

Use these checks to make sure the dashboard and the real-world workflow agree.

  • Client contact information, service properties, and equipment tags are accurate.
  • Past quote and invoice history is properly linked to the master record.
  • Owner clearance is used for destructive merge, delete, or portal revocation actions.

Troubleshooting

When the workflow doesn’t look right

An office user cannot see Merge or Delete buttons.

Destructive client operations require Owner role authorization.

Client profile merged with wrong record.

Client merging cannot be undone. You will need to manually re-enter the separated contact details.
